2. About this policy
This policy covers information we collect through eastyorkshireflooring.co.uk, when you ask for a quote or site survey, when you apply to work with us as a fitter, and when you contact us by phone, email or WhatsApp. Our showrooms (East Yorkshire Carpets) and online shop (Flooring Place) have their own policies.
Most people contact us on behalf of a school, care home, builder, landlord or business. Work contact details are still personal information, and this policy covers them. Questions to info@eastyorkshireflooring.co.uk.
3. What we collect
- Enquiries and site survey requests: name, organisation, phone, email, sector, flooring type, timescale and anything you tell us about the project.
- Fitter applications: name, phone, email, where you’re based, what you fit, whether you have your own van and tools, whether you hold a CSCS card, your notes and any photos of your work.
- Calls, emails and WhatsApp messages: your number or email address and what you send us, including photos.
- Site surveys and projects: site address, site contact details, measurements and photos of the area. Site photos may show people or vehicles by chance; we don’t use them to identify anyone.
- Collected automatically: IP address, browser and device type, pages visited, how you reached the site (for example, a Google ad) and actions such as tapping to call. Analytics and advertising cookies are only used with your consent.
We don’t take payments through the website.
4. How we use it
- To reply to enquiries, arrange site surveys, prepare quotes and carry out installations
- To manage projects and keep site contacts up to date
- To review fitter applications and discuss subcontract work
- For invoicing, accounts and record keeping
- To see how the website and our adverts perform, and improve them
- To keep the website secure and block spam
We don’t send marketing emails or texts.
5. Our lawful bases
- Contract, or steps before a contract: quotes, site surveys, installations and subcontract arrangements with fitters.
- Legitimate interests: replying to enquiries, managing relationships with business customers and fitters, and keeping the website secure. We only rely on this where your rights don’t outweigh our interests.
- Consent: analytics and advertising cookies. You can withdraw consent at any time.
- Legal obligation: tax, accounting and health and safety records.
6. Who we share it with
We never sell your information or share it for other companies’ marketing. We only share it with:
- Staff across East Yorkshire Carpet & Bed Ltd who handle enquiries, surveys and installations
- Our website host and IT providers, who run the website, store form submissions and keep the site secure
- Our email provider, which handles emails you send us
- Google (Google Analytics and Google Ads), to measure how the website and our adverts perform, with your consent
- WhatsApp (Meta), if you message us on WhatsApp
- Fitters working on your job, who get the site address and site contact details they need
- Our accountants, insurers and accreditation bodies (such as CHAS and SMAS), where needed
We may also disclose information where the law requires it, or to a buyer if the business is sold or merged.
7. International transfers
Google and Meta may process data outside the UK, mainly in the United States. These transfers are protected by UK-approved safeguards: the UK International Data Transfer Agreement or the UK-US data bridge.
8. How long we keep it
